Executive Assistant/Project Coordinator

As an Executive assistant you will be responsible for providing advanced administrative support for executives, including daily coordination of organizing meetings, appointments, conferences and travel arrangements. As well as taking minutes of the meetings and conferences when necessary, preparing agenda and other documents, supporting executive communications and correspondence, including taking calls, responding to emails, while ensuring prompt, accurate, and appropriate responses.

Your main tasks would be:

• Keeping executive office - organizing and supporting board members.
• Maintaining executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
• Conserving executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications.
• Producing information and presentations by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
• Cooperating with other departments i.e. Administration, Reception to complete tasks
• Maintaining confidence and protects operations by keeping information confidential.
• Completing projects by assigning work to appropriate individuals.
• Managing office operations, including preparing reports, performing data collection and analysis.
• Assisting with other organization-wide projects by contributing to Team effort so as to accomplish related results as needed.

• Very good command of English
• Very good writing Skills in Polish and English
• Reporting and Scheduling Skills
• Very good Microsoft Office Skills
• Organizational, Time Management and Presentation Skills
• Knowledge in Travel Logistics and strong Verbal Communication
